How to Handle Question and Answer Session Effectively

On 17th November 2009 (Tuesday), it was our club’s pleasure to have distinguished toastmaster, Charles Tan Chia Lih, as our guest speaker, to share with us the ropes of handling the most challenging session in a presentation, which is the ‘question and answer session’. Q & A session is a critical session to determine a speech or sales success. If you are able to handle it efficiently, the audience or customers will consider you as a credible individual and accept what you suggest in your presentation.

Chia Lih is a speaker who is well-versed in speaking impromptu. For me, he is such a quick-witted speaker who can effortlessly overcome any possible questions and topics thrown to him. That’s why we think he is the most ideal person to impart some tips on this topic. I am sure for those who know him well will also give a resounding vote of consent towards my statement.

See, Chia Lih did not want to miss any chance to be captured in the camera. He was sitting there properly and threw his gracious smile to make sure he looks presentable in the camera shot.



Chia Lih didn’t directly channel us into the topic of Q and A session. Instead, he shared with us on how to analyze different types of audience or customers we may probably encounter when making a sales or delivering a presentation. I think his sharing on this point is rather crucial before we can effectively answer the questions of the audience. Yes, we need to understand our audience first. According to him, there are four major types of audience or customers, typically the high dominance group, high influence group, high steadiness group and high compliance group.

High dominance people are goal-focused. Those people require concise and direct talk and visuals without unnecessary delay. They want your speaking pace to be brisk but not rushed. If you incline to dragging your contents, this kind of person will most likely lose their interest listening to you. If you wish to successfully deal with this type of characters, tell them what are the tangible benefits will they gain after listening to you at the outset of your presentation in a succinct way.

If you want to please the high influence people, you must be able to master the skill of building rapport. Those people like to share anecdotes & experiences. If you would like to click with them, you need to be at the same ‘channel’ with them. Talk about things they like to hear first before sharing what you want them to hear from you. Those people are very lively, so your pace of communication has to be as vibrant as possible to sustain the momentum. They will be intrigued easily with more colourful presentation visuals.

According to Chia Lih, high steadiness people are more receptive to facts and clear explanatory. Due to this reason, you definitely need to prepare handouts and full transcript of your talk for them. Your speaking pace should be steady and do not simply overstate benefits as you will probably lose your credibility. Shortly speaking, you have to be sincere in your speech.

If you are an analytical, precise and detailed person, high compliance people are your most ideal customers. Those people will prefer you to have plenty of facts and supporting information in your presentation before they make any decision. Before meeting this type of customers, you need to be prepared for a series of possible questions to add odds of sales success into your favor, as they will normally ask very detailed questions. These kind of people may not merely want to know ‘1+1=2’, they may want to explore is there any other possible answer for ‘1+1’.

During the presentation, Chia Lih was being asked whom does he think is the hardest group to confront with. In his personal opinion, he claimed the high influence people are the toughest group to tackle as these people are normally nice to everyone. You may find it hard to capture their real buying intention on your idea or product.

After that, Chia Lih slowly moved to the topic of ‘question and answer session’. During this session, he conveyed to us a few beneficial tips. For example, demonstrate positive and assertive body language when inviting questions, like raising your hand.

He did advise us to answer the question from one person at a time. It is advisable not to answer few questions from different people simultaneously as you may obscure the answer and trigger some unnecessary contentious issues on the spot.

Do not shy to clarify the questions if needed. Raising clarification will be better than you answer the question wrongly which may highly tarnish your credibility. It is rather important to allow all the audience to hear the question posed. So you may look to someone else in the audience and rephrase the question, then return to the questioner and provide a concise answer.

There were five ‘taboos’ of handling question and answer session. Firstly, do not bluff. If you really have no idea about the question, tell the questioner frankly and promise to get back to him or her as soon as possible. Do get rid of bragging as if you know about the question, because you may get bogged down in the mid of your answer if somebody who knows the answer better stands up and disapproves your answer. You definitely want to avoid such a blooper right?

Secondly, do not ever embarrass the questioner. Even though you think the question raised is due to the questioner’s ignorance. You should not let the questioner feeling inferior by saying something like “I am surprised you ask such a simple question.”

Thirdly, remember not to rush to an answer or speak too quickly in order to ensure all the audience capture your message.

Fourthly, never appear to be defensive. For instance, when the questioner told you that you have answered a question too abruptly, you are not encouraged to repudiate the questioner’s statement like “No, I don’t think I answered your questions too abruptly. I did….”

Lastly, do not bore your audience or potential customers by giving long and elaborate answers. Not all the audience would like to know the detailed answer. If there is only one particular audience wants to know the thorough answer, you may deal with this person after the presentation.

All the members and guests who attended this educational session did provide a lot of positive comments on the topic shared. The good news is, Fennie, who was our guest during the last meeting, has turned into our member during this meeting. My colleague, Ms Hoo, who attended this meeting as a guest, also promises to sign up as a toastmaster. A Valuable Workshop about Time Management

Great2bToastmasters have organized another ‘great’ event on 3rd November 2009 (Tuesday), at 7.30pm, which was the Time-Management Workshop conducted by the ever-prominent speaker, Christopher Choong. Christ is a rather experienced speaker who always sugarcoats his speech with convincing facts and matters as well as humorous elements that intrigue his audience.
He is such a responsible person whereby he daintily dressed and reached the venue much earlier to prepare and set up whatever gadgets needed during the presentation. Most importantly, he brought along cakes from E&O to ‘bribe’ us. In fact, there is no necessity for him to bribe us. We should be ‘bribing’ him to hold this workshop.

At the outset of his sharing, Christ inspired us with a very precise fact. According to him, we do not manage time because time cannot be managed, but we manage ourselves to ensure we have sufficient time to get things done. Christ has made the workshop so vivacious by letting us to mentally ‘work’ throughout the session. He passed a questionnaire with 15 questions to us. We were asked to complete the questionnaire within 10 minutes. As usual, different questions will carry different scores that represent certain qualities in us. This practice seemed to be boring at first, but the interesting part took place later on. He imparted the idea on how these questions portray the different time-management abilities in us. For instance, those who scored high in question 6, 10, 14 & 15 are people who are more well-versed in goal setting (as shown)



At the end of the session, all of us got to realize our own abilities and weaknesses in different aspects of time-management, such as goal setting ability, capability of prioritizing works, skills of managing interruptions, level of procrastination as well as the ability of making schedules.
Of course, Christ didn’t only help us to decipher our weaknesses only, he did provide us with effective solutions to overcome those ‘flaws’. For example, I told him I am deficient in prioritizing works even though I did adopt a to-do-list in my own job management. After sharing with him my actual situation, he suggested me to use a more effective to-do-list. (as shown)

From what we can observe from the chart, we are encouraged to pay more attention to zone A, as whatever very important and urgent tasks will be listed here. So we need to complete the tasks occupying zone A first. Then most of us were wondering whether we shall go for important or urgent tasks for the next step, B or D? According to Christ, we shall prioritize the more important tasks first, which is zone B. Nowadays, lots of people has abused the word ‘urgent’. A lot of people tend to use words like ‘super-urgent’, ‘extremely urgent’ to urge you to get things done earlier and faster for them. So the word ‘urgent’ basically has not much value in it. So it totally depends on you to recognize its urgency. I do agree with Christ in such situation. So he advised us to settle the tasks that we think are more important first because those tasks may cause some negative impacts to you if you do it late. After Zone B, then you may steer to Zone D for the urgent one, and lastly only go to Zone C to finish the less important and less urgent jobs when we are free. This chart was another beneficial message brought to us that night.

Christ granted all the attendees another bonus too. He sent us the softcopy of his presentation materials and some research few days after the workshop. Guess what? What he gave us is a 52-page time-management e-book with the compilation and preparation of all time-management related information. We didn’t pay a single cent for the workshop, except for the guests who only paid RM5 for admission. But what we obtain from this workshop is much more than we can expect. Thanks, Christ!

This big shot is none other than our Distinguished Toastmaster, Charles Tan Chia Lih. He is going to conduct a session on "Handling Q&A Session ". I personally think it is the most challenging session of a presentation. If you would like to know how to confront the Q&A session more steadily and confidently, this is a session you can’t afford to miss.

A Visit to Tzu Ji Charity Food Fair

27th September 09 (Sunday) was another significant day for Great2b Toastmasters. This time our destination was Pesta Penang, where the Tzu Ji Charity Food Fair was located.

The objective of this outing was to further enhance the relationship between club members and may be to obtain GOOD KARMA. Karma is the law of moral causation. In Eastern beliefs, the karmic effects of all deeds are viewed as actively shaping past, present, and future experiences. Well, Toastmasters are mostly kind-hearted people.

This was the 2nd time I had been to Tzu Ji Charity Food Fair. My experience had steered me to be smarter. This time I had prepared food containers and recyclable bags to pack my food. In case you never pay a visit to Tzu Ji Charity Food Fair, just to highlight to you, Tzu Ji (a non-profit organization which promotes humanitarian works) is advocating environmental movement. You are encouraged to either have your meal at the food fair, or get your own ‘tupperware’ to store your food if you prefer to take away. You will be charged a higher price on the food and beverage sold here if you choose to pack your food and beverage using their packaging. Prudent people like me will definitely bring along whatever‘weapon’which is necessary to avoid myself from spending extra money. Haha….Anyway, it’s a charitable activity, it’s still okay to‘donate’more to them.

1st time visitors like the twin sisters, Khai Yuen and Khai Shing, as well as Tony came to the food fair empty-handed. No choice they just have to‘donate’more to Tzu Ji. Kwek, is another‘aunty’who also brought along quite some numbers of containers like me to ensure this was a‘rewarding journey’. We had our lunch there.

Everybody was back with something; I and Kwek had managed to grab few containers of food. The twin sisters had bought some daily used items and souvenirs. Tony had bought himself a packet of raw roti canai.
It was rather congested and hot at the food fair, but we did enjoy the fellowship. Anyway, this was our ultimate reason of organizing this outing. We did have our club committee meeting prior to this activity. Initially, we planned to hold our exco meeting after the Tzu Ji Food Fair visit. Luckily, the president had switched the meeting time at the very last minute. Otherwise, it would be too exhausted for us to have meeting after the food fair visit . Some more, our IPP (Immediate Past President), Khai Yuen was not feeling well. It was our pleasure to have her with us despite her ‘less ideal’ health condition on that day.

It was another enjoyable outing for Great2b Toastmasters! Cheers! Hopefully more members will be available to join us next time!

2009 Jan 18 - TLI # 2

The 2nd TLI was held at Intel PG12, 12p.m. - 5:30p.m.

There were four of the Penang MCA Toastmasters club officers attending it: Khai Yuen the cute cute president, Khai Shing, Lee Mei and Kwek. Khew wanted to attend too, but she didn't come at the very last minute.

The TLI started half an hour later than the planned time, but nevertheless the training went pretty well. Throughout the TLI, there were presentations by giants of Toastmasters -- Division Governor and Area Governors. The presentations were very beneficial; we learnt about giving positive club impression to first-comers, retaining existing members, holding quality meetings and lastly, fostering close relationships between members and between clubs. There were also area-level discussions whereby the respective area governor gone through the club health checklist with present club officers. Boon Chien, our area S5 governor, was indeed an amusing person; he even managed to inject humour whilst going through the checklist with all 6 clubs in the area! His humorous attitude made the discussion lively!

All in all, it's a very good experience and it's a pity that Khew the IPP (Immediate Past President) couldn't attend it.

Let's hope that we the club officers that had attended it would be able to apply the things learnt!
